Description

Reception and Frontline Services

  • Help and welcome visitors with professionalism
  • Maintain a tidy and organized reception area
  • Make sure visitors sign on and directed to the appropriate location
  • Offer refreshments to visitors whenever they are
  • Communicate the estimated wait time to visitors.

Switchboard Operations

  • Answer and direct calls effectively
  • Transfer calls and screen them to appropriate personnel
  • Send messages promptly and quickly
  • Make sure that all calls are handled professional and with respect.

Administrative Support

  • Keep track of all calls and visitors received
  • Assist with photocopying of documents or scanning. Binding
  • Distribute internal and mail to the relevant departments
  • Assist frontline operations by performing general administrative tasks

Operational Excellence and Compliance

  • Keep up the image and the values of Services SETA
  • Issues with maintenance of reports affecting reception services
  • Check that security procedures are in place at the reception
  • Perform basic troubleshooting on office equipment

Support the Optimisation of the Unit

  • The efficiency of managing calls and interactions with visitors
  • Feedback from stakeholders regarding service levels
  • Rapid and precise distribution of documents and messages
  • The corporate reception standards are in line with customer standards of service

Requirements

  • National Senior Certificate or equivalent certification (NQF level 4)
  • A minimum of one year’s experience in customer service, receptionist, or an administrative position
  • A working knowledge or experience of the SETA environment can be a benefit.
